What This Guide Covers
As a manager, your Workday experience includes your own employee profile plus a set of team management capabilities — viewing your team's information, acting on approval tasks, and initiating transactions for your direct reports. This guide covers the most common manager-initiated actions.
Who this applies to: Active people managers with one or more direct reports in Workday.
Prerequisite: You must have the manager security role assigned in Workday. If you do not see your team, contact People Systems at[support contact].
Part 1: Accessing Your Team
View Your Team / Org Chart
Log in to Workday at
[Tenant-specific URL]From the Workday home screen, locate the My Team worklet or navigate to your team via the search bar

Check Your Workday Inbox / Action Items
Your Workday inbox contains tasks that require your action — approvals, acknowledgments, and information requests. Time-sensitive items may include:
- Compensation change approvals
- Job change (transfer, promotion) approvals
- Time-off requests
- Performance review submissions
- Benefits change approvals (during qualifying events)
To access your inbox:
Click the Inbox icon (envelope or bell —
[confirm icon in your environment]) in the top navigation barReview items in the Actions tab — these require your decision
Review items in the Archive tab to see previously completed actions
For each action item, read the details carefully before approving, sending back, or denying
Tip: Set up Workday email notifications so you receive an alert when new inbox items require your attention. Contact your Workday administrator or People Systems to confirm notification settings for managers.

Part 2: Initiating a Job Change for a Direct Report
A job change in Workday captures changes to a worker's role, title, location, cost center, or similar employment attributes. This section covers initiating a standard job change request.
Before you begin: Confirm with HR or your HRBP that the job change has been approved through your organization's approval process. Workday records the change — it does not replace your organization's approval workflow.
Steps:
Navigate to the employee's worker profile (see Part 1)
Click the Actions button on the worker profile

Review the summary and click Submit to route the change for approval

Part 3: Approving a Direct Report's Time-Off Request

Open your Workday Inbox
Locate the time-off approval task
Click the task to open it — you will see the employee's name, the dates requested, the time-off type, and any note from the employee
Review the request in the context of your team's schedule and your organization's time-off policy
Select Approve or Deny

The employee will receive a notification of your decision.
Part 4: Initiating a Compensation Change

Q: Can I see my direct reports' salary in Workday?
Manager visibility to compensation information depends on your organization's security configuration. Contact your HRBP or People Systems if you need compensation data for your team.
Q: A team member I manage is not showing in my Workday team view. Why?
This is usually a reporting structure issue — either the employee is not yet reporting to you in the system, or a recent change has not been processed. Contact People Systems with the employee's name and your name, and they will investigate.
